Dear Rotarians of District 1420,
The statutory Autumn Meeting of Rotary District 1420 Association, i.e., the District Meeting, will be held this year on Saturday, 17 October 2026, from 13:30 to 15:30 at Radisson Collection Hotel, in the “Copenhagen” meeting room on the 2nd floor, Rävala pst 3, Tallinn, Estonia.
According to the district’s bylaws, every Rotary club has at least one representative*. A Rotary club with more than 25 members is entitled to one additional representative for each subsequent 25 members or the greater part thereof. (See instructions in the proxy.) Proxies must be submitted in advance as a scanned copy to info(at)rotarypiiri1420.org or delivered on-site by 13:00. Authorised representatives must be present by 13:30.

At the District Meeting:
- The annual report and financial statements for the previous fiscal year (2025-2026), along with the Finance Committee statement and the operations auditor’s report, will be presented.
- A decision will be made on the approval of the financial statements and the granting of discharge from liability to those accountable.
- Nominating committees will be elected to propose the district’s future governor.
- The association’s representatives and their deputies will be elected to bodies that require an official representative.
- The district’s representative to the autumn meeting of Suomen ja Viron Rotarypalvelu ry on 22.10.2026 will be authorised.
- Other matters mentioned in the meeting notice will be discussed.

*According to the current RI Bylaws, Articles 15 (Districts) and 16 (Governors):
Voting members: only the representatives (electors) appointed by the clubs. Each club is entitled to at least one representative. A club with more than 25 members is entitled to one additional representative for each additional 25 members or major fraction thereof.
Mandatory attendees without voting rights are the District Governor (DG), who chairs the meeting; the Immediate Past District Governor (IPDG); the District Governor-Elect (DGE); and the District Governor-Nominee (DGN).
Other district officers (e.g., secretary, treasurer, AGs) may attend, but they have no voting rights.
